You will carry out administration tasks associated with the offices of the Chief Executive, Executive Leader and the Mayor, as instructed by the Corporate Services Manager; and project support to assist with the implementation of GDPR (General Data Protection Regulations 2018) as instructed by the Committee and Information Manager.

You will update diaries, arrange appointments and carry out tasks in preparation for civic events. You will also input data on project documents using Microsoft applications such as Excel and Word.

You will:

  • Deal with internal and external customer enquiries and all correspondence by telephone, e-mail, post and in person.
  • Open post, scan documents and process information.
  • Assist in the preparation for events and meetings by carrying out administrative tasks.
  • Send meeting requests and briefing material to invited attendees.
  • Carry out clerical tasks to support the efficient operation of the offices and the GDPR project.
  • Assist with research to support the GDPR project via online, telephone, face to face methods.
  • Assist with the preparation of training material for staff and elected members to inform them of the GDPR work.
  • Carry out other tasks to ensure a presentable and professional office environment.
  • Act professionally at all times, speaking to customers, colleagues and elected Members in a helpful and polite way.

  • An awareness of the role of the office of the Chief Executive, Mayor and Executive Leader in order to provide appropriate clerical support.
  • An awareness of Data Protection and why it is important.
  • The ability to think clearly and work well under pressure.
  • A customer orientated and non-judgemental approach.
  • Tact and diplomacy skills to know when not to divulge sensitive information.
  • Good ICT skills and the ability to learn new systems.
  • Good verbal and written communication skills.

Personal qualities

  • The ability to work on your own and as part of a team.
  • A flexible working attitude and a willingness to occasionally work outside normal office hours.
  • A steady, accurate and methodical approach to work.
  • A sense of pride and commitment to do a good job.

Qualifications required

  • GCSE grade A*-C in Maths and English (or equivalent), however all applicants will be considered on merit subject to initial assessment against the challenging academic requirements of the framework.
  • Confident application of English is critical to this role.
