With training and supervision, the post holder will offer administrative and clerical services to the Poole EDAS team and support the manager and training department through a range of duties including monitoring and inputting on the data management system (HALO). Complying to and returning the end of month statistical data.

To provide a dedicated, comprehensive and professional support service to the Poole Team maintaining a high degree of accuracy and strict confidentiality at all times

With training and under supervision, take the lead on preparation and inputting of statistical information on the HALO system within the Poole services.  Make timely, accurate submissions to NDTMS of HALO information no later than the 5th each month

Timely and continuous communication with Deputy CEO regarding anomalies in HALO and any risk pertaining to service users.

Continuously update and monitor referrals received by SMART and advise the Clinical Lead of new referrals to be allocated, in putting care plans and TOPS information.

Answer the telephone, connect callers, take messages and coordinate rooms for meetings and interviews. Be jointly responsible with Keyworkers for meeting service users or visitors upon calling at the building.

Providing general clerical support such as word processing for other members of staff, volunteer advisors and training department as required. Photocopying and faxing as required.

Minute taking at team meetings or other meetings.

Monitoring and ordering office stationery and equipment (e.g. Replenishing paper, renewing toners and cartridges etc).

Monitoring information brochures etc. and assisting with the preparation of reports if requested.

To liaise with Service Users and provide 1:1 support if required.

Provide support with digital interventions e.g. Live Chat, 24/7 Helpline & digital apps

Opening and closing the office when necessary.

To undertake such other duties as may be required from time to time commensurate with the level of the post.

To maintain personal expertise through supervision and appraisal and attend training, development and supervision.

To comply with all decisions and policies of EDAS and any relevant statutory requirements, including Equal Opportunities legislation, the Health and Safety at Work Act and Data Protection Act.

Future prospects

It is anticipated that upon successful completion and achievement of the apprenticeship, the successful employee will become a permanent member of the EDAS Administration team, gaining experience in a range of clerical, administrative, business and strategic developments.

Things to consider

The successful candidate must be able to keep confidentiality and respect the anonymity of both learners and service users of EDAS. This is absolutely imperative and any breach of confidentiality will result in dismissal. The initial hourly rate is £4.55 rising to £5.00 after successful 3 month probationary period

Training provider

The successful apprentice will work towards achieving a
Business Administration Level 2 Diploma.  Level 3/Advanced Apprenticeship could be considered dependent on prior learning and ability.

The post holder will spend 20% of their time on off-the-job training over the 18 month apprenticeship.  Off-the-job training will be provided by the employer and Skills & Learning, Bournemouth, Dorset & Poole and will include a range of workshops, tuition, research and project activities, e-learning, work shadowing, coaching and tutor directed self study. 

The post holder will be supported with all relevent training in Safeguarding Adults, Safeguarding Children, PREVENT, Deprivation of Liberty and Mental Capacity Act.

English, maths and ICT Functional Skills tuition will be provided where needed
