Intermediate Level Apprenticeship
Reporting to: Chris Wright
Working with: Chris Wright, 2 full time and 1 part time personal trainer.
I am excited to offer an apprenticeship for an administrative assistant in our Personal Training studio in Esher, Surrey.
We truly help people change their lives. We help people get their bodies back, get their confidence back, and improve all aspects of their lives. We help them get fitter, stronger, move better, reduce their aches and pains, and so much more.
It is not just the personal trainers that involved on this journey but everyone who interacts with the clients… yes that means you too if you get the job. You might not be taking them through a session but your role is vital in their experience. If they have a great experience they stay for longer & they get better results.
I am looking for someone who can add energy, enthusiasm, and a great work ethic to the team, to truly serve the clients at the highest level possible.
Here are some of the tasks you would be expected to perform:
Answering and returning phone calls from customers and prospects.
The phone calls that come in are important. When you’re not here to answer the phone, many of the calls will go to voicemail. You’ll be responsible for returning those calls the next day.
Responding to customer service phone calls and emails.
We get quite a few phone calls and emails every day. You will need to respond to each of these with basic information. You need to be comfortable talking on the phone, using email and being a good typist.
Filing. Basic stuff to keep up with the paper flow.
Client and trainer scheduling
We use a system called Mindbody, to schedule and track clients. You don’t need experience in using this, we will teach you to use it.
Tracking Client Info
We use an online system called Active Campaign – this will be a system you use every day. It will inform you who you need to call, notes on the person etc. You do not need to have experience of this, as we will teach you to use it.
And any other tasks that we deem necessary for the role.
Requirements and prospects
These are the skills you must already have to qualify for this position:
Microsoft Word: You must be very comfortable using Word.
Microsoft Excel: You must have basic Excel skills. We don’t do anything advanced with this software, just some simple spreadsheets, but you must be comfortable doing what I need you to do.
Good phone personality/etiquette : You will be talking with my customers and clients, who are VERY important to me, and prospective customers, who are also important. You must be comfortable conversing on the phone, in person, and through email. You must know how to conduct yourself professionally, take clear messages and deliver clear instructions to the prospect or client. I’ll teach you everything you need to say and do, but I can’t teach you manners and professionalism.
Email: A great deal of your work will be via email. You need to be very comfortable and proficient with email.
Thoughtfulness I need you to be able to think for yourself. I am very serious about this one. I do not want a robot, I want someone who learns and grows with me.
Organisation: Organisation is absolutely key in this role. We have lots of clients and lots of paperwork both offline and online that needs to be kept in good order and easily findable.
Independent: I will not be looking over your shoulder every minute of every day to make sure you are doing what you are supposed to be. That’s no fun for anyone. I expect my team to do their absolute best at achieving their goals, and meeting their job description. I am of course here to help if you need it, but I always encourage independency. If you are the type of person who needs that constant nagging to get work done, you probably aren’t right for the role.
If you are someone who is energetic, enthusiastic, willing to learn and grow, willing to challenge yourself then you will fit in well.
We are a fitness company dealing with clients all day, your communication skills need to be excellent. On the phone, in person and via email.
If people leave the room after speaking to and they feel better than when they walked in, that’s the kind of person I want to work with.
Then just basic things like being on time, doing the things that you say you are going to do, being honest.
Ultimately we are a small, entrepreneurial company. This is NOT a corporate style job. This is not the type of job where just showing up is enough. Performance is everything to me I want nothing more than to find a person who takes a real interest in doing good work and contributing to the growth of the business.
With all that said, enthusiasm and a positive attitude go a long way in my book. I’m a very positive, upbeat guy and appreciate those qualities in others. As long as you have the basic skills I mentioned and a great attitude, you’re definitely a candidate!
I would like to see some GCSEs (or equivalent), A Levels (or equivalent) or a degree is great too, but not by any means essential. I hire based on personality.
