You will be working towards your L3 Business Admin apprenticeship by assisting in a range of duties relevant to your studies, you will also be set aside time to complete your learning.

  • Answer telephone, screen calls, take full details & direct calls in the absence of the Practice Manager
  • Have full knowledge of staff movements. Maintain the holiday booking diary via Outlook
  • Send out monthly client satisfaction forms and recording the results on the spreadsheet
  • Produce reports for Heads of Team on client satisfaction
  • Close files on the Vantage system ensuring all relevant paperwork is completed
  • Photocopying as requested
  • Maintain the suppliers spreadsheet, informing the Practice Manager of all renewal dates as they occur
  • Arrange repairs and services for all offices
  • Booking rooms and sending e mails for meetings as requested
  • Input the data from file audits
  • Produce reports as requested from information supplied
  • General administrative and clerical support mainly to the Practice Manager
  • Preparing mail shots, letters & documents as required
  • Be prepared to travel to other offices as and when required

Requirements and prospects

Desired skills

Proficient in Microsoft Office, especially using Outlook and Excel, excellent numeracy and literacy, able to work in a challenging, varied role & multi task. IT skills are an added advantage. Must have the ability to travel to our other offices in Cinderford, Ross & Monmouth. Some practical skills would be an advantage . Must like working with others

Personal qualities

Must be able to work and maintain confidentiality due to the nature of the role. Be presentable & have an excellent sense of humour

Qualifications required

GCSE Maths and English A – C (9 - 4) or equivalent qualifications, plus 3 A-Levels, perferrably including Business OR a Business Admin L2 NVQ.

Future prospects

There may be the opportunity to carry on to doing the Leadership Apprenticeship and taking more responsibility for managing the offices

Things to consider

Staff and suppliers can be challenging in their attitude and the applicant after training will have to be able to deal with various requests but keep to their set tasks as well. May have to work some weekends but time is given in lieu 20 days plus bank holiday. Gwyn James closes over the Christmas period but this is not taken from your entitlement. There is an optional pension scheme after the probationary period of 6 months. The Apprenticeship National Minimum Wage (ANMW): From April 2017 the ANMW was set at £3.50 per hour. This applies to 16-18 year old apprentices and those aged 19 and over in the first year of their Apprenticeship. For all other apprentices the National Minimum wage appropriate to their age applies. The Minimum Wage for Apprentices applies to time spent on the job plus time spent training.
