Asset Management

Assist with Asset Documentation Management:

  • Upload CE certs, parts manuals, insurance documentation and others
  • Quality checks of documentation
  • Revision dates of documentation
  • Building portfolios for assets

Assist with Asset Management Work Order Updates:

  • Defect report inputting/planning
  • Pre-use check inputting/planning
  • Safety reports inputting into Engineering dashboard

Assist with New Assets Uploading to Asset Management System:

  • Receive new asset upload document
  • Assess new asset data
  • Liaise with IFS Systems Specialist to be uploaded into the system
  • Assign/upload asset documentation to the asset

Assist with the Engineering Planning Functions:

  • Assist with vessel stemming plans
  • Assist with the creation of engineering asset management plans
  • Assist with the updating of work orders within the asset management system
  • Assist with planning meetings and the cascading of engineering tasks
  • Liaise with engineering customers providing planning updates

Inventory Management

Assist with Inventory Part Administration:

  • Assess parts list
  • Create a new inventory part record in IFS
  • Attach authorised request documents
  • Upload part data & complete

Assist with Price Checks in Inventory System:

  • Check IFS for valid price checks
  • Contact suppliers for new pricing
  • Update new prices in IFS and attach relevant paperwork.

Assist with Inventory Management of Stationery:

  • Stock control of stationery items
  • Procurement of stationery items

Reporting

Assist with Reporting Requirements:

  • Fuel input report
  • Fuel usage reports
  • Asset hours used report
  • Holiday/resource report
  • Collation of section reports to collate into monthly report
  • Analyse & report on inventory transaction history
  • Collation of inventory data to report on
  • HSE reporting

Monthly Report for Overtime Budget:

  • Export spread sheet from IFS – split relevant companies and send to accounts

Fuel Recharges:

  • Down load all fuel usage from Triscan fuel system
  • Work out costs as per inflation prices
  • Update documentation
  • Liaise with the Accounts department to be process fuel re-charges

Procurement

Assist with Invoice/Order Discrepancies:

  • Liaise with the Accounts department with discrepancies and rectify
  • Liaise with external suppliers with discrepancies and rectify
  • Log discrepancies and file

Assist with Procurement Orders:

  • Assist with the creation of procurement orders
  • Liaise with suppliers with procurement orders

Human Resources

Assist with the Management of Personnel Files:

  • Assist with the collation of personnel information
  • Assist with filling personnel information such as training records, sickness records

Assist with Personnel Wages:

  • Check all Overtime/sickness and holiday are entered
  • Export to excel spread sheet from IFS
  • Split Tees Engineering and Groveport and Humber
  • Check all higher grade and input for individuals
  • Cascade to managers to be checked and forward to Payroll

Assist with Engineering Holidays and Over Time: 

  • Holiday data inputting
  • Holiday planning
  • Overtime data inputting
  • Overtime planning

Assist with Holiday Management:

  • Check all holiday
  • Clear personal files ready for the new year
  • Calculate if holidays need to be carried over

Assist with shift rota /and work out write off hours incorporated into the year:

  • From the new year update all the new shift rotas
  • All bank holiday/extra payments to be worked out

Assist with Working Time Directive Legislation:

  • Assist with the input all figures from Excel spread sheet and cascade to relevant people.

Assist with Balancing Payments /Write off payments:

  • Work out all payment above and beyond normal overtime hours

Assist with Temporary Labour:

  • Input and produce paperwork for all temporary labour
  • Cascade to relevant people

Contractual Agreements

Assist with Contractual Agreements:

  • Assist with the Civil department with contractual agreement works
