The apprentice will be expected to ultimately undertake a variety of administrative tasks which will support existing members of staff primarily with the recruitment of volunteers but also with involvement in staff recruitment processes. This will include:

Acting as a key point of contact for enquiries/queries within the department, signposting individuals to the correct team member as appropriate.

Acknowledging new applicants, to include: responding to enquiries, ensuring appropriate data capture, suitability screening and referrals to Line Managers.

Providing administrative support for progressing new starters: organising interview schedules, completing pre and post joining checks, arranging start dates with Line Managers, mandatory training data input and any other role specific requirements. Maintaining up-to-date records of any notified changes to individual details and generating timely renewal reminders.

Processing leavers, seeking feedback from Line Managers and generating standard/individual letters as appropriate. Regularly collating qualitative data by actively seeking experience feedback. Ensuring that records are stored and archived following data protection guidelines.

Maintaining accurate database input and supporting further development of the system as necessary.

Providing administrative support to minute meetings, update documents and maintain records of evidence for the compliance of CQC/CHKS. Undertaking audits as required.

Supporting the ongoing maintenance of training records with regular review of compliance and transference of data as necessary. Helping to prepare training material as required.

Attending external events as necessary to promote the recruitment of volunteers and raise the profile of volunteering opportunities.

Undertaking ad-hoc tasks as agreed with the Voluntary Services Advisor.


Requirements and prospects

Desired skills

  • Competent keyboard and PC skills.
  • Confident user of Word and Email, some excel and power point experience would also be helpful.
  • Experience of delivering good customer service.
  • An organised person who is able to plan ahead and use initiative when needed.

Personal qualities

  • A pleasant and confident communicator with a good command of the English language.
  • Able to project a professional image to internal and external customers.
  • A positive work ethic, showing commitment to hours at work and college studies.
  • Receptive to learning and motivated towards self-development.
  • Able to follow guidance to ensure the accuracy of tasks.
  • Has some creative qualities helpful but not essential.

Qualifications required

GCSEs Grade C or above in English & Maths (or equivalent)

An IT qualification (or similar) would be desirable

Future prospects

The successful candidate will be able to work towards CIPD qualifications or similar in the future

Things to consider

The Apprenticeship National Minimum Wage (ANMW): From April 2017 the ANMW was set at £3.50 per hour. This applies to 16-18 year old apprentices and those aged 19 and over in the first year of their Apprenticeship. For all other apprentices the National Minimum wage appropriate to their age applies. The Minimum Wage for Apprentices applies to time spent on the job plus time spent training. Consistent concentration is required to ensure accuracy. Workload can be unpredictable and regular interruptions are likely. There may be occasional exposure to emotional situations within the department and throughout the Hospice.

Clinical services include a 15 bed In-Patient unit, a Community Hub offering a Wellbeing Centre, Lymphoedema and Physiotherapy services, a community nursing team comprising a Hospice at Home team and a Clinical Nurse Specialist team, and a large Patient and Family Services team. Our Business Development team are based off site and look after marketing and fundraising. In addition, Willen Hospice has 9 shops and a distribution centre.
