Primary objective of position:

To maximise hotel revenue and guest satisfaction by receiving, handling and processing conference, events and individual reservations under the direction of the Meeting and Event Sales Manager and Reservations Manager.

Tasks, duties and responsibilities:

Maximises hotel revenue and guest satisfaction:

  • Greets guests over the phone in a friendly, courteous manner
  • Informs other departments of VIP arrivals
  • Pre-blocks all special requests or VIP accommodations accurately
  • Utilizes guest history files for personalized service at the hotel
  • Manage all special requests appropriately
  • Records reservation information accurately
  • Records and processes payments
  • Maximizes customer satisfaction and hotel revenue by promoting hotel restaurants and other services and facilities to guests
  • Deals with assigned incoming correspondence, faxes and messages in a timely manner
  • Respond to all enquiries in a timely, confident & professional manner, displaying a clear & comprehensive knowledge if the hotel
  • Record full and accurate details of guest requirements and bookings as per the hotel procedures
  • Make clients aware of the full terms of business, including the cancellation policy and the need to confirm bookings prior to arrival
  • Conduct final details calls and appointments with clients
  • Assist with client "show rounds"
  • Book third party services in accordance with the company and hotel procedures
  • Have knowledge of, and operating, the hotels cash processing and security procedures


  • Prepare promotional material for offers and packages, as instructed
  • Liaising with the Meeting and Events operations team, communicating guest requirements and details of forthcoming events
  • Accountability for billing of conferences and ensuring pre-payment where required

  • Follows all applicable laws, corporate standards and guidelines

Health and Safety:

  • Maintains high confidentiality in regards to guest privacy
  • Ensures that all potential and real hazards are reported appropriately immediately
  • Fully understands the hotel's fire, emergency, and bomb procedures
  • Follows emergency procedures to provide for the security and safety of guests and employees
  • Works in a safe manner that does not harm or injure self or others
  • Supports a safe hotel by applying hotel regulations, and adhering to existing laws and regulations
  • Anticipates possible and probable hazards and conditions and notifies the Meeting and Events Sales Manager
  • Maintains the highest standards of personal hygiene, dress, uniform, appearance, body language and conduct


  • Responsible Business: show involvement and be interested in environmental and/or social issues by participating in Responsible Business hotel and departmental activities
  • Attends meetings and training required by the Revenue Manager
  • Assists colleagues to perform similar or related jobs after approval of the Revenue Manager
  • Ensures guest satisfaction by attending to their requests and inquires courteously and efficiently
  • Accepts flexible work schedule necessary for uninterrupted service to hotel guests
  • Maintains own working area, and materials clean, tidy and in good shape; reports defective materials and equipment to the Revenue Manager
  • Continuously seeks to endeavour and improve knowledge of own job function

Things to consider

You will need to be able to get to the Hotel either via your own transport or public transport. You will also need to be mindful that you will have to come to Loughborough College throughout your apprenticeship.
