As an apprentice receptionist you will help to assist with the smooth running and development of the office. Your main duties and responsibilities will include:

Reception Desk

  • Portraying a good image with courtesy and politeness and maintaining confidentiality at all times
  • Facilitating between patients and Doctors
  • Answering promptly and dealing efficiently with telephone calls and enquiries at the desk
  • Booking routine appointments using the computerised appointment system
  • Recording home visit requests and passing on emergency visit requests
  • Arranging patient hospital transport

Administration

  • Filing and retrieval of patient records
  • Filing and retrieval of post awaiting collection by patients
  • Processing of incoming and outgoing patient medical records
  • Processing patient registration details and item of service claims via computer links
  • Sorting incoming mail and outgoing primary care trust mail for collection
  • Checking and maintaining stationary supplies in doctors’ consulting rooms
  • Ordering NHS England stationary

Other Duties

  • Occasional work in the dispensary including checking deliveries and replacing stock on shelves
  • Ensuring that the waiting room is tidy throughout the day
  • Checking that the correct Doctor names correspond to the room number for the patient display calling board prior to surgeries
  • Checking supplies of patient leaflets and reading material
  • Making tea and coffee for the doctors and practice nurses and checking stocks
  • Securing the premises at the end of the day when appropriate, following the protocol kept in reception

There are good future prospects and the company has access to an online education website specifically for GP practices.

Things to consider

The candidate would need to be able to reach the office, either by car or public transport, by 8am in the morning and be able to stay until the close of practice at 6.30pm in the evening. Please note there is a bus route to Pontesbury.

  • As part of the Business Administration apprenticeship, the successful applicant will need to attend an induction sessions plus a literacy/numeracy diagnostic at a County Training centre. They will also need to attend Functional Skills tests, learn about Employer Rights and Responsibilities plus document Personal Learning and Thinking Skills throughout their programme. We also offer some short courses which are free for our level 3 learners to attend.
