Reception Duties:

  •  To answer the phone in a professional and efficient manner
  •  To take accurate messages and liaise with other staff and managers
  •  Support housing management functions such as taking messages from landlords
  •  First point of contact for contractors, repairs and maintenance queries 
  •  To manage and deal with all post in a timely manner ensuring it reaches the right person or is scanned into the system and emailed to the correct person.

Administration Duties:

  •  To provide administrative support to staff within the service
  •  To type correspondence and produce documents and letters as requested
  •  To run reports and maintain IT systems and files
  •  To scan and photocopy forms and documents
  •  To support with referrals and general queries
  •  To Maintain the staff and Service user databases
  •  Ensure enough basic office stationary is available

Finance Duties:

  • Deal promptly with the issuing and payment of invoices.
  • Check all completed monthly expenses and extra hours from staff before sending for approval to the Team Leader.
  •  Liaise with all Central Service departments, particularly Finance, as required to ensure the issuing and payments of invoices.
  •  Provide information to assist in budget preparation to the Team Leader as requested.
  •  Liaise with benefit agencies to ensure appropriate levels of payments as necessary.
  •  Check rents and service charge payments against those issued by Head Office and advise line management of any discrepancies.
  •  Prepare finance forms in a timely manner for the approval of the Team Leader, specifically when service users commence with and leave the service

General Duties:

  • To accept and engage in regular support and supervision from line manager
  • To carry out all work in a manner consistent with the aims and values of Richmond Fellowship
  • To maintain confidentiality at all times, in accordance with the agreed policy
  • To treat all service users and stakeholders with respect and courtesy
  • To observe and follow all RF policies & procedures and guidelines
  • To provide administrative support across the geographical area as agreed with your manager
  • Take minutes, as requested ensuring information Governance and confidentially is fully adhered to at all times, producing accurate records of meetings and actions.
  • Willing to travel to another location if required
