We would like our apprentice to undertake a broad range of office tasks, but the main area of focus would be on a financial basis, heavily involved within our accounts department.

We see the role involving, but being limited to, the following –

  • Working independent or within a team.
  • Collation of weekly time sheets and input onto pay role system.
  • Basic use of sage 50.
  • Liaising with accountant to confirm payroll is correct.
  • Capturing and recording of weekly and monthly payroll data.
  • Use of spread sheets to record income and expenditure.
  • Collation of monthly accounts.
  • Production of accounting reports for forecasting purposes and cash flow.
  • Recording and processing of employee’s monthly mileage claims.
  • Processing of employee expense claims.
  • Invoicing customers for services carried out.
  • Liaising with customer for payment dates.
  • Processing and payment of invoices received.
  • Assisting with VAT returns.
  • Recording and accounting for UK VAT and also VAT procedures for overseas transactions.
  • Booking in new contracts and issuing of order acknowledgements.
  • Management of company bank accounting procedures.
  • Development and improvement of company finance procedures.
  • Archiving and storage of financial information.
  • Working closely with finance & Logistics’ manager to prepare, manage and present Irrevocable Letter of Credits for our overseas customer’s (Training on ILOC’s is also available through our Chamber of Commerce membership and will be given to our apprentice).
  • Prepare and issue commercial invoices for exporting purposes.
  • Understand the different trade agreements with other countries and the tax arrangements that comes from them.

We would also like our apprentice to have the following skills / training to be able to assist with the general day to day office tasks -

  • Ordering from suppliers
  • Answering and making phone calls.
  • Communication with customers and suppliers via e-mail.
  • Price research to assist with job quotations.
  • Administration assistance to office managers.
  • Updating of customer data base.
  • Deliver a high standard of customer service and develop working relationships.
  • Preparation of forms and documentation for export / import procedures.
  • Develop and delivery of a presentation.
  • Upkeep of our website and social media sites.
  • Upkeep and management of the company holiday chart.

Apprentices must show commitment to the following:

  • To achieve apprentice framework (Key Skills, NVQ and Technical Certificate) within the specified time frame
  • Attend the apprenticeship induction programme
  • Attend all of the training sessions for the programme whenever necessary
  • Undertake any other required development work as part of the apprenticeship programme as requested
  • Any other duties as deemed appropriate by senior staff.
  • To complete training assignments and maintain a student portfolio, which will be assessed by an assessor

The Minimum Wage for Apprentices applies to time spent on the job plus time spent training.
