We are looking for an Office administrator in a small office open-plan environment which will offer varied experience of office duties.

The role will involve dealing with paperwork for the whole sales process, progress reports, and customer liaison. There will also be some marketing elements to the position which would include social media.

As an initiative company we embrace social media marketing to drive growth further.

Duties will involve:

  • Setting up deal files, paper & electronic.
  • Liaising with dealers to order vehicles.
  • Regular updates with dealers on orders.
  • Updates to customers on vehicle progress.
  • Progressing financial documents with finance companies and customers.
  • Arranging delivery/collection of new vehicles.
  • Researching industry information for blog and social posts.
  • Organising social media posts on Facebook, Twitter, Instagram, Google+, Linked In.
  • Creating media content, text & images using Photoshop, email software.
  • CRM management & updates.
  • General filing.
  • Some assisting with invoicing and accounts.
  • The successful candidate would be expected to be able to work as part of the team and help develop the processes to drive the company forward.
  • There will be direct contact everyday with all members of staff and the directors.

Requirements and prospects

Desired skills

  • We require the candidate to be confident, socially competent, outgoing and a team player.
  • A good telephone manner is very important along with a well organised mentality and understanding the principles of customer excellence.
  • We need good computer literacy with understanding of Excel, Word and Google Docs/OneDrive.
  • Experience of social media would be an advantage. Ability to use self-initiative is essential as part of a small team.

Personal qualities

  • We are looking for a positive person with a drive to succeed and improve themselves.
  • Someone who can add value to the business.

Qualifications required

  • There are no required qualifications although good English and Mathematics grades would be an advantage.

Future prospects

This is a new role so the prospects are very open. Depending on the successful candidate this position could continue as an administrator or could develop into a more sales and marketing role, where commission could be earned and a company car. We are a growing company and want someone to join the team and help develop the business going forward

Things to consider

The role could be a great opportunity to someone, but they will need to be confident and outgoing as there is customer contact on the telephone. We will expect the candidate to show good initiative and be able to work independently. Also there will involve a lot of computer based work in the office. We try to have a relaxed environment in the office and will look for someone to fit into the team. Salary: £130/week for the first 3 month probationary period. After this period is completed it will increase to £150/week. Salary will be reviewed with further possible increases based on performance. The current National Minimum Wage for an apprentice is £3.50 an hour. This rate applies to apprentices under 19 and those aged 19 or over who are in their first year. Apprentices must be paid at least the minimum wage rate for their age if they are aged 19 or over and have completed their first year. The minimum wage rates are £5.60 an hour for 18-20 year olds and £7.05 for anyone aged 21 and over. Apprentices are paid for their normal working hours and training that’s part of their apprenticeship (usually one day per week).
