Mach Care Solutions are looking for an Administration Apprentice who has an interest in the Care Sector and wishes to progress within our company. This is a great position for the right candidate as it will give an insight into how the company works and also provides the opportunity to learn a variety of tasks within a friendly office.

The main purpose of this role is to:

  • Provide administrative support for all aspects of the organisation.
  • Provide administrative support for recruitment and general HR activities (including enquiries from the public).

Your duties will include:

  • Organise and maintain records and data systems Employment and HR Administration.
  • Act as first point of contact for all enquiries.
  • Answering general enquiries from the public, clients, social services and staff.
  • Administer payroll (including recording sickness absence etc.).
  • Liaise  and source references, offer letters, contracts of employment, disclosure checks and other correspondence.
  • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spread sheets and databases.
  • Covering care calls and to stand in for Care Staff should there be any shortage.
  • Booking training rooms and conference facilities for staff.
  • Using content management systems to maintain and update websites and internal databases.
  • Attending meetings, taking minutes and keeping notes.
  • Managing and maintaining budgets, as well as invoicing.
  • Ordering and maintaining stationery and equipment.
  • Sorting and distributing incoming post and organising and sending outgoing post.
  • Liaising with colleagues and external contacts to book travel and accommodation.
  • Organising and storing paperwork, documents and computer-based information.
  • Photocopying and printing various documents, sometimes on behalf of other colleagues.
  • Maintain staff rota, on-call and support with CQC compliance.
  • Prepare quality care plans and risk assessments for service users.

Your learning and Development will be supported by your own Vocational Learning Advisor who will guide you throughout your Apprenticeship.

Requirements and prospects

Desired skills

  • Willing to learn to pay attention to details.
  • Well organised and prepared to learn to set up effective systems and processes (manually and/or electronically).
  • Able to prioritise and/or be prepared to learn to schedule tasks, deal with workload conflicts and deliver to standard.
  • Excellent ICT skills, including using websites, databases, Excel, Word and Outlook.

  • Able to maintain confidentiality.
  • Able to build effective working relationships with internal and external colleagues; working at different levels.

Qualifications required

  • Must be educated to GCSE level (or equivalent) with English, Maths, and ICT.
  • No experience required as on-the-job training shall be provided.

Future prospects

Learning new skills and obtaining knowledge. Gaining a work based Apprenticeship with the possibility of securing a permanent job within the company on completion of the NVQ Level 2 Qualification in Business and Administration.

Things to consider

This role is mainly desk based. The working week will be 35 hours per week and shifts will be 9am-5pm Monday to Friday. The current National Minimum Wage for an apprentice is £3.50 an hour. This rate applies to apprentices under 19 and those aged 19 or over who are in their first year. Apprentices must be paid at least the minimum wage rate for their age if they are aged 19 or over and have completed their first year. The minimum wage rates are £5.60 an hour for 18-20 year olds and £7.05 for anyone aged 21 and over. Apprentices are paid for their normal working hours and training that’s part of their apprenticeship (usually one day per week).
