    Wages explained

    The current National Minimum Wage for an apprentice is £3.50 an hour. This rate applies to apprentices under 19 and those aged 19 or over who are in their first year.
    Apprentices must be paid at least the minimum wage rate for their age if they are aged 19 or over and have completed their first year.
    The minimum wage rates are £5.60 an hour for 18-20 year olds and £7.05 for anyone aged 21 and over.
    Apprentices are paid for their normal working hours and training that’s part of their apprenticeship (usually one day per week).

Job Summary: To provide effective administrative services within Vocational Science and the Department of Art, Science and Humanities (ASH), supporting members of staff in their roles.  

Main Responsibilities:

  • To provide administrative support to Vocational Science and the department of ASH.
  • To open, sort and deal with routine correspondence, collecting and taking mail to David Hockney Building and Beacon Recruitment.
  • To act as receptionist for people visiting Departments and directing queries to the right staff.  
  • Liaising with departments to deal with rooming issues and staff absences.
  • Arrange requisitions and purchase orders through the Finance Process Manager (FPM) system.
  • Ordering consumables and replenishing stock.
  • To provide general administrative duties e.g. data collection, typing of correspondence as instructed.
  • Sending e-mails and using the internet for researching information.
  • To assist in managing administrative systems and maintaining records for the departments.
  • Photocopying, filing, archiving and uploading documentation to systems.  
  • Assisting in preparation of organised events and meetings.
  • Scheduling appointments and preparing presentation materials.
  • Greeting visitors and escorting to meetings.
  • Answering the telephone and passing messages onto relevant staff.
  • Making telephone calls where instructed.  
  • To take dictation or record the minutes of departmental/committee meetings. Assisting in various daily operations.
  • Any other duties deemed suitable to the post.

Requirements and prospects

Desired skills

  • A good level of ICT, Literacy and Numeracy.
  • Knowledge of Microsoft Office Packages (Word, Excel etc).
  • Must be able to work flexibly as part of a team.

  • Good communication and interpersonal skills.
  • Enthusiastic approach to work.

Qualifications required

  • GCSE A to C in Maths and English or equivalent qualification.

Future prospects

On completion of the Intermediate Apprenticeship, individuals will have the opportunity to apply to progress on to the Advanced Apprenticeship.

Training provider

  • Competency qualification: Apprentices will be required to produce work and build an e-portfolio of evidence through blended learning which will include practical and written knowledge assessments which are carried out in the workplace.   
  • Knowledge qualification is delivered in the classroom on a day release basis over a period of 16 weeks.  The course is completed with written / computerised assessments that are delivered in exam conditions in the classroom.
  • Functional Skills at level 1 in Maths, English and IT delivered in the classroom.
  • Employment Rights & Responsibilities are embedded in the competency qualification.
  • Personal Learning & Thinking Skills are delivered via a workbook and completed in the workplace.
