  • To order goods and services by issuing purchase orders and good receipting using the Agresso system and ensure appropriate cross charging is done.  Ensure call-off orders are in place for regular suppliers.
  • To chase approvals and deal with queries in a timely manner.
  • To update requests received via the ECS and LTMS Footprints system throughout the purchasing lifecycle.
  • To respond to communications received via the ECS and LTMS Purchasing mailbox in a timely manner.
  • To manage and issue invoices to external agencies/institutions for annual contracts and courses.
  • To make credit card purchases as required.
  • To work with the Admin Services Manager to align ECS and LTMS purchasing processes.
  • To attend team meeting and work with other members of the team to improve service delivery and implement a paper free digital filing system.
  • To undertake other appropriate duties in other sections of ECS and LTMS as required on occasion ensuring that the University’s core priority services are maintained at all times.

Requirements and prospects

Desired skills

  • Ability to accurately update a database to input data and maintain logs containing pertinent information.
  • Experience of Microsoft software, including but not limited to, MS Word and Excel
  • Ability to recognise and prioritise more complex issues and when necessary to seek guidance from the Admin Services Manager (Interim).
  • Experiencing of working well under pressure and gaining satisfaction from providing excellent customer service.
  • Ability to use initiative to make decisions with the customer that are in line with standard procedures.
  • Ability to analyse data

Personal qualities

  • Excellent oral communication skills whether face to face or on the phone with a high level of literacy and interpersonal skills.
  • Ability to participate in team discussions to identify areas for service improvement.
  • Ability to write professional and concise emails and similar communications

Qualifications required

Maths and English GCSEs A-C/9-4 (or equivlent) and Level 3 qualifications (A Levels or relevant Btec) or completed Level 2 Business and Administration Apprenticeship

This role will provide you with the skills and experience to progress in Administrator on explore a career in purchasing or finance.

Things to consider

The current National Minimum Wage for an apprentice is £3.50 an hour. This rate applies to apprentices under 19 and those aged 19 or over who are in their first year. Apprentices must be paid at least the minimum wage rate for their age if they are aged 19 or over and have completed their first year. The minimum wage rates are £5.60 an hour for 18-20 year olds and £7.05 for anyone aged 21 and over. Apprentices are paid for their normal working hours and training that’s part of their apprenticeship (usually one day per week).

Training provider

You will attend Kingston College for your off the job training. During your Apprneticeship you will complete the following; 

  • NVQ Level 3 Diploma in Business and Administration (OCR)
  • Level 3 Certificate in Principles of Business and Administration
  • Functional Skills - Level 2 maths, Level 2 English and Level 2 Information & Communications Technology
  • Employment Rights & Responsibilities

You will also develop the following knowledge/skills and experience:

  • Experience of using a finance system e.g. Agresso
  • Experience of following financial regulations.
  • Experience of progressing customer queries in a timely manner.
  • Experience of working well as a member of a team and taking on a wide range of tasks using a broad range of skills in a fast changing environment.
