  • The post holder will also develop their competency in completing general administrative duties within the Surgery
  • Report to the Practice Manager
  • To assist the Reception/Administrative teams in the following tasks, initially with supervision but developing the skills and competencies required to perform these tasks autonomously as the apprenticeship progresses
  • To act as the first point of contact for patients, visitors, and employees, providing a welcoming and professional reception and telephone service to Whitehouse Surgery
  • To ensure all individuals reporting to Reception are dealt with courteously and professionally, and to assist in organising patient appointments, including home visits, and the passage of information to staff, patients and Health Care providers
  • To answer incoming telephone calls, promptly and efficiently, directing them to the correct individual or taking clear messages and ensuring they are actioned appropriately
  • To act as a team with other Administrators and Receptionists, to ensure a high professional standard in Whitehouse Surgery is met
  • Maintaining a high standard of cleanliness in the Reception area and meeting rooms
  • Ensure clinical rooms are stocked with appropriate stationary and maintaining an acceptable level of Receiving and distributing incoming post and other deliveries, ensuring they reach the correct department in a timely manner
  • Ensuring that all outgoing mail is franked and ready for collection each day; managing the upkeep of the post franking machine, ensuring funds are available and consumables are stocked; monitoring and advising staff on postal rates and packaging and ensuring the most cost effective means of postage is used
  • To accurately record and retrieve patient and other data from the internal computer system, and deal with other computerised instructions from GPs and supervisors
  • Register new patients and amend patient records as required
  • Distribute Repeat Prescriptions to GP's for signing, and sort and file, ready for collection by patients and chemists
  • Maintaining stocks of stationery
  • Completing dipstick tests on patient urine samples
  • To complete other general administration duties as directed, such as filing, archiving and photocopying and to provide cover in the absence of other administrators within all areas of the Surgery
  • Any other duty commensurate with the post, as directed by management
  • To act as an ambassador of Whitehouse Surgery, maintaining honesty, integrity and trustworthiness at all times
  • Be expected to maintain strict confidentiality at all times
  • Ensure that they are aware of and apply health and safety and fire precautions across the practice
  • Ensure data protection is maintained at all times
  • Be flexible in terms of working hours in order to meet service needs
  • Support Whitehouse Surgery as required, across the range of his/her duties as appropriate.

The National Minimum Wage for Apprentices is £3.50 per hour. This is the legal minimum pay per hour applying to 16-18 year old apprentices and those aged 19 and over in the first year of their apprenticeship. For apprentices 19 or over who have completed their first year and are continuing their apprenticeship, the National Minimum wage appropriate to their age applies.
