Apprentice will be supporting the clinical team for Asclepius occupational health, but will also help support our sister software development company.

Daily duties will include:

Asclepius Occupational Health

  • Answer phone calls
  • Full utilisation of Apollo Occupational Health Software.
  • Organise medical appointments
  • Book appointments for Clinicians (referrals and reviews)
  • Scanning records/reports/letters
  • Greeting visitors at the door
  • Checking the drug fridge temperature every morning
  • Unlock cupboards and filing cupboards
  • Shredding documents
  • Make drinks for visitors and staff as required
  • Washing up
  • Recycle products to recycling bin.
  • Liaising with Referring Managers
  • Liaising with Clinics for appointments
  • Locking up the office at the end of shift
  • Logging new equipment onto an equipment document
  • Checking/reading emails
  • Responding to emails
  • Organising medical documents
  • Keeping equipment log up to date
  • Keeping railway log up to date
  • Keeping calling log up to date
  • Keeping drug and alcohol log up to date
  • Checking when equipment calibration dates are due and advising manager
  • Calling GP’s surgeries to chase up GP reports
  • Sending out medical forms via email and post
  • Send out questionnaires via email
  • Sending out confirmation of appointments via email
  • Update letter heads and footers
  • Create holding folders once an appointment has been made
  • Send out reports for medicals (pre-placement reports and night worker reports)
  • Hoover when required (Cleaners attend weekly)
  • Keep the working and Reception area clean and tidy.
  • Keep cupboards clean and organised
  • Assist with marketing when required.
  • General administrative duties as requested by Office Manager or Clinical Operations Director.

Aratus.Software

  • Answer phone calls
  • Reead emails
  • Respond to emails
  • Forward emails to appropriate team member/s
  • Update the Aratus Software spreadsheet
  • Email ‘join.me’ link to customer
  • Liaise with customers to organise demonstrations
  • Liaise with customers to organise training sessions
  • Link the Apollo diary with google calendar for appointments
  • Set up reminders on google calendar
  • Send confirmation email to customers once demonstration has been booked
  • Update Apollo diary, once demonstration has been booked (Mike’s calendar)

 


Requirements and prospects

Desired skills

Must have the following skills:

Must be IT literate and prepared to be involved in software development.

Must have good written and spoken English.

Personal qualities

Must not be shy, as dealing with employees and clients from a multitude of different companies and organisations.

Must have a friendly manner.

Must respect medical and business confidentiality.

Qualifications required

Minimum of 5 GCSE grades A* - C to include English, maths and ICT

Future prospects

A permanent position may be offered at the end of the apprenticeship.

Things to consider

No public transport is available to reach the workplace. Aldershot bus and train station are 20 minutes walk from the business.
