This is a medical based administrative role (dental administrative tasks and business administrative tasks). With a part time dental receptionist role two days per week.

It will involve substantial administrative tasks, including writing letters, dental record keeping, filing, appointment making, booking and customer service in person, on the phone and in writing. Therefore excellent communication skills are important. You will be handling confidential patient details and other confidential information every day. Your integrity must be beyond reproach. A high level of professionalism is required at all times. Full training will be given in all areas mentioned; this will be coupled with the training required for the Level 3 Medical Business Administration qualification.

You will undertake the following tasks:

  • Assisting the Managing Director with administrative tasks required for the smooth day to day running of the practice
  • Supply ordering and pricing of supplies and materials, using and maintaining the online accounting system (Xero)
  • Preparing replies, emails, letters, assisting with administrative tasks
  • Preparing practice communications, such as welcome leaflets, information leaflets, writing letters/emails and other forms of communication with patients, suppliers, other professionals
  • Assisting with the collection and maintenance of any and all documents and records as required for maintaining Care Quality Commission Compliance for General Dental Practices as delegated by the Managing Director
  • Update, store, file and print Medical History details with both electronic appointment signature and on paper, complete NHS forms for electronic submission. Accurate filing and record keeping are essential skills
  • Update, store, file and print patient details, both electronically and on paper. This may be required in the clinical environment (i.e. note taking while patients are being treated by the clinician’s and dental care professionals.) You may be required to be trained in Basic Dental Charting and this training will be provided by Poynton House Dental. Your competency will be regularly checked
  • Create Estimates for electronic signing and paper signing and generation as PDF forms (Full training on all these points will be given to learn how to accurately use Clinipad and EXACT Version 12 FRONT DESK appointment booking software. Also training in how to use the patient recall facilities and reminder services, patient correspondence as provided through this software and as generated by Poynton House Dental
  • Handle telephone calls both incoming and outgoing calls as required. Meeting and greeting patients as they arrive, taking payment and re-bookings as required when they depart

2 day’s dedicated to covering reception (Thursday 9am-5pm less 1 hour for lunch and Friday 9am-4pm less 1 hour for lunch)

Qualifications required

Future prospects

It is hoped that the role will become a permanent one upon completion of the apprenticeship. This is a specific role within Poynton House Dental, available upon completion of the apprenticeship.

Things to consider

Poynton House Dental: Poynton House Dental in excess of both statutory and holiday entitlements provided the conditions of the Sickness, Injury and Absence Policy are met. DBS: A DBS is required as part of this role and funded by the employer. Lunch break: Poynton House Dental will offer up to hour’s break for lunch each day, typically taken in the middle of your shift which is unpaid. Uniform and training: The employer will pay for the uniform and any other associated training that is agreed once the person is in post. Any additional training costs as required; training such as handling Medical Emergencies, Venerable Adult and Children Safeguarding are required for the role and are paid for by Poynton House Dental and are typically undertaken during normal working hours. Working hours: There is some flexibility with the hours and start/finish times on Monday, Tuesday and Wednesday as you will be working closely with the Managing Director on these days and in order to best fit your training around other commitments there may be slight variation’s to scheduled hours on Monday, Tuesday and Wednesday (while maintaining 34 hours per week minimum.) You will not be expected to work outside the hours of 9am to 8pm Monday to Friday and 9am to 5pm on Saturday’s. Any work outside of these hours on Monday to Saturday is paid at 1.5 times your standard hourly rate and any work on Sundays and Bank Holidays would be paid at double your standard hourly rate. There may be an occasional Saturday shift, late night opening until 8pm between Monday and Friday if required and holiday reception cover may be necessary from time to time. You will be given the option to take time in lieu or additional pay at your normal hourly rate and these times will be agreed in advance with the Managing Director. Young persons (under the age of 18) will not be required to work more than 40 hours a week. Telford College: Telford College are managing this vacancy on behalf of this company. As part of the screening process of applications you may be contacted by Telford College for a telephone or one to one face interview as part of our screening process. The current National Minimum Wage (NMW) for apprentices from the 1st April 2017 is £3.50 per hour. This applies to 16-18 year old apprentices and those aged over 19 in the first year of their Apprenticeship. The new NMW applies to time working plus time spent training as this is also part of the Apprenticeship. Anyone not covered by this age category above will be entitled to the NMW appropriate for their age.
