Duties include:

  • The lettings administrator will be responsible for responding to tenant enquiries on the phone, email and through messaging.
  • The administrator will then organise viewings, co-ordinating diaries, checking travel times and liaising with the lettings negotiator.
  • The administrator will also meet tenants who come into the office and oversee the check in process.
  • This will involve going through the check in check list and ensuring that paperwork is in place, payments are cleared and right to rent checks are complete and in order.

  • The candidate should be familiar with basic word processing and have an excellent level of written English as well as an understanding of business English.

Qualifications required

  • GCSE or equivalents English and Maths grade C and above.

Future prospects

The administrator will be trained to progress into a trainee lettings negotiator role. A lettings negotiator oversees the process of letting a property from start to finish managing viewings, negotiating with tenants and landlords and overseeing tenant referencing and check in. The administrator will also have the opportunity to develop into a property management fole with more focus on managing maintenance and carrying out property inspections.

Training provider

  • NVQ Business Administration
  • Functional Skills English, Maths and ICT
  • In addition to formal training full on the job training will be given for all new tasks.
  • This will entail access to written procedures and check lists as well as the opportunity to shadow an experienced member of staff before taking on new tasks. In addition to training that will be provided by an experienced lettings negotiator the administrator will be mentored by the Managing Director.
  • There will also be opportunities to attend property networking meetings with the Managing Director who will help the administrator develop new contacts and learn about the property investment community.
