Job title: Apprentice Administrator

Reporting to: Operations Manager

Hours of Work: Full Time – 9am - 5pm, Monday to Friday

This vacancy is for an Apprentice Administrator to work for a well-established business providing financial services, based in Manchester city centre.

The successful applicant will have a genuine opportunity to develop a long-term career with this business gaining valuable experience and nationally recognised qualifications.

Purpose of role:

It is your duty to provide administration support to the Financial Advisers in respect of new and existing business. You will monitor new business progress and chase outstanding documentation on behalf of the Financial Advisers and ensure all new business submitted is fully completed and compliant.

Key tasks:

  • To process new applications for business both in online and paper format.
  • To carry out all compliance administration associated with new business, this includes ensuring forms are completed and chasing information where necessary.
  • To set up files for new clients and record information on database ensuring compliant files are maintained and Identity is verified.
  • Request collate and record information from third parties.
  • To update the New Business Register and Intelligent Office.
  • To set up new clients on database and send out policy documents as and when required.
  • To deal with incoming and outgoing post daily; scan, logging and distributing to the relevant individual.
  • To deal with any client correspondence and daily tasks regarding ongoing cases and queries from Financial Advisers ensuring they are kept up-to-date on their cases.
  • To produce Illustrations as requested along with any supporting documents required.
  • To compile Letters of Authority, sending out to Insurers and collating policy information when received in, then inputting policy information on to Intelligent Office.
  • To answer the telephone as necessary and have a friendly and professional manner at all times.
  • To meet and greet clients as required.

General for all staff:

  • The principle roles and responsibilities will change from time-to-time and the post holder is required to undertake any additional duties as deemed appropriate.
  • Staff are required to have a Personal Development plan and to participate in training, meetings or conference considered relevant to their job.
  • Staff must carry out their duties with full regard to the rules policies and procedures and conditions of service contained in the staff handbook.

Future prospects

Successful candidates will be able to progress to a permanent role within the business after completing their apprenticeship.

Things to consider

The current National Minimum Wage for an apprentice is £3.50 an hour. This rate applies to apprentices under 19 and those aged 19 or over who are in their first year. Apprentices must be paid at least the minimum wage rate for their age if they are aged 19 or over and have completed their first year. The minimum wage rates are £5.60 an hour for 18-20 year olds and £7.05 for anyone aged 21 and over. Apprentices are paid for their normal working hours and training that’s part of their apprenticeship (usually one day per week).

Training provider

  • Full Business Admin Apprenticeship incorporating NVQ at Level 3, where evidence will be gathered to build a portfolio showing your competency within the role.
  • Functional Skills to include Maths, English and IT (depending on award and previous qualifications) where a tested part will be completed. 
  • Complete a Technical Certificate to underpin your knowledge of working in the sector, this also comes with a tested part.
  • Full on the job training will also be provided by the employer as well as further external training opportunities.
